Kurdistan Save the Children is seeking an Office Manager in Kirkuk to oversee daily operations, supervise staff, and maintain organizational coordination. The role requires a relevant bachelor's degree and at least 3 to 5 years of office management experience.

It is an independent, non-governmental organization dedicated to children. It was founded in 1991 by Mrs. Hero Ibrahim Ahmed and a group of volunteer staff. It is a non-political, non-governmental, and non-religious organization that does not operate for profit. It provides assistance regardless of race, gender, religious, or political affiliations. It works to secure a better future for children and youth by developing their capabilities without discrimination, as well as advocating for, providing, and strengthening services in the fields of child rights protection, health, and education.

Responsibilities

  • Represent the organization within the scope of designated authorities and responsibilities in Kirkuk and the region.
  • Manage and supervise the daily operations of the office and ensure that work is conducted in an orderly and efficient manner.
  • Implement the policies, guidelines, and decisions of the administrative board and ensure employee compliance with them.
  • Supervise the administrative staff, provide necessary guidance and support, and follow up on their work performance and execution of tasks.
  • Maintain continuous coordination with the main office and relevant departments to ensure that office tasks and requests are executed on time.
  • Coordinate with programs and support program staff to ensure their work is carried out smoothly and in accordance with the organization's plans and guidelines.
  • Participate in office budget planning and monitor expenditures within the approved budget and financial procedures.
  • Ensure the protection, updating, and organization of office records and documents, including correspondence and related paperwork.
  • Ensure office compliance with the organization's policies and procedures regarding recording, archiving, and document safekeeping.
  • Monitor workplace visits and oversee task execution by program staff, reporting any issues or shortcomings to the relevant authority.
  • Ensure a safe, calm, and suitable working environment is provided for office staff.
  • Support the professional development of employees and ensure the presence of necessary guidance and support to improve their performance.
  • Perform any other duties assigned by the direct supervisor.

Requirements

  • Bachelor’s degree in administration, Business Administration, Accounting, Finance, Law, Social Science, or any other related field.
  • At least 3 to 5 years of working experience in office management, administration, staff supervision, or a similar position.
  • Good ability in planning, organization, follow-up, and execution of tasks within set deadlines.
  • Good understanding of budget management, expenses, and basic accounting principles.
  • Strong ability to supervise and guide employees, evaluate performance, and resolve work-related problems.
  • Language Proficiency: Kurdish (very good); Arabic (good); and English (good level in reading, writing, and communication).
  • Ability to work independently and as part of a team, with strong decision-making and problem-solving skills.

Notes

  • Contract Duration: Until 31/12/2027, with the possibility of contract extension.
  • Working Hours: 8:30 AM - 4:00 PM
  • Duty Station: Kirkuk
