We are seeking an experienced Senior Tenant Contracts & Leasing Officer with a strong legal background to oversee tenant contract administration, leasing documentation, compliance procedures, and complex contractual matters.
Responsibilities
- Lead the preparation, review, organization, and follow-up of tenant contracts from initial approval through final signing.
- Review contract documents to ensure accuracy, completeness, consistency, and compliance with company policies and applicable legal requirements.
- Coordinate with Legal, Management, Accounting, Operations, and other relevant departments to complete all required approvals and procedures.
- Communicate directly with tenants regarding contract requirements, documentation, procedures, and signing arrangements.
- Explain contract terms and procedures clearly within the scope of approved authority.
- Ensure that no amendments, negotiations, or changes to approved terms are made without proper authorization.
- Identify and escalate legal, financial, operational, and compliance risks related to tenant files and contracts.
- Coordinate with the Legal Department and Management regarding special clauses, amendments, addenda, disputes, breaches, and high-risk tenant files.
- Review and follow up on contract amendments, addenda, renewals, notices, and other related legal documents.
- Coordinate with the Accounting Department to confirm payment requirements, deposits, financial obligations, and instructions before contract signing.
- Maintain complete, accurate, and confidential physical and digital tenant files.
- Monitor contract expiry dates, renewal schedules, pending signatures, and missing documents.
- Ensure timely follow-up on unsigned contracts, incomplete files, amendments, addenda, and renewal requirements.
- Maintain accurate and up-to-date tenant contract records and databases.
- Prepare reports regarding contracts, renewals, expired agreements, pending approvals, incomplete files, and compliance matters.
- Support the development and improvement of contract administration procedures, templates, and internal controls.
- Provide legal and procedural guidance to junior team members when required.
- Liaise with external lawyers, consultants, authorities, or other parties when authorized by Management.
- Maintain strict confidentiality of tenant information, contracts, legal documents, and financial records.
- Perform other relevant duties assigned by Management.
Requirements
- Bachelor’s degree in law or a related field is an advantage.
- Licensed lawyer or legal professional with a strong background in contract and leasing matters.
- Minimum of 3 years of relevant experience in legal practice, contract administration, leasing, property management, real estate, or a related field.
- Strong knowledge of contract law, lease agreements, legal documentation, compliance procedures, and dispute-related matters.
- Proven experience reviewing, managing, and following up on complex contracts and legal documents.
- Experience coordinating with tenants, internal departments, management, external legal advisors, and government authorities.
- Strong ability to identify contractual risks, missing requirements, inconsistencies, and compliance issues.
- Proficiency in Microsoft Office, particularly Microsoft Word and Excel.
- Fluency in Arabic and Kurdish, including speaking, reading, and writing.
- Excellent written and verbal communication skills.
- Strong negotiation awareness, while respecting management authority and approved contract terms.
- Excellent organizational, analytical, follow-up, and problem-solving skills.
- Ability to manage confidential information professionally and maintain strict discretion.
- Ability to work independently, meet deadlines, and manage multiple contracts simultaneously.
- Previous experience in a shopping mall, commercial property, real estate, or leasing environment is preferred.
- Strong legal judgment and contract-risk assessment skills.
- Leadership and decision-making abilities.
- Excellent tenant and stakeholder relationship management.
- Ability to handle sensitive disputes and high-risk contractual matters.
- Strong reporting, documentation, and records-management skills.
- High level of professionalism, integrity, accountability, and attention to detail.
